POSTED JANUARY 5, 2011: Room block at the Sheraton filling quickly; list of alternative hotels
As of today, our sleeping room block at the host hotel, the Sheraton New Orleans, is full on some nights. Here is the current status:
If you try to book a room through the online link below, and ask for a room on either of the two full nights, the Sheraton systemwide reservations system will automatically shift your reservation request to the Sheraton's sister hotel, the W New Orleans; We have a small block of overflow rooms at the W, and you are welcome to make a reservation there so long as they have availability; However, the rooms at the W are at the federal per diem rate of $131 + tax, not the discounted rate of $119 + tax that we arranged at the Sheraton.
If you haven't yet booked your hotel room yet, here's how we suggest you proceed:
Hotel room block. A block of 600 sleeping rooms is being held at the Sheraton. We have negotiated a discounted room rate of $119 per night (same price for single/double occupancy). This is $12 below the FY 2011 federal per diem rate for lodging in New Orleans. Currently, there is a 13% state and local sales tax on the room plus a $3 per room per night occupancy tax (the "pillow tax"). These tax rates are subject to change.
FYI, the 2011 federal per diem rates for New Orleans are: $131 lodging, $71 M&IE (meals & incidental expenses; $53.25 first and last day M&IE).
Free in-room, high-speed Internet for people reserving under the GWS room block. We have also negotiated free Internet access in sleeping rooms for guests who have registered under the GWS room block — a $10 per night savings over the usual charge. There is free high-speed wireless in the hotel lobby.
Partial room tax exemption for government employees. Government employees will be able to exempt themselves from the state portion (but not the local portion) of the 13% state and local sales tax on the hotel room by filling out the State of Louisiana Department of Revenue's form R-1376. Download a copy here, fill it out, make a copy for yourself, and bring the original signed copy with you at check-in. NOTE: there is no exemption from the $3/night pillow tax.
Making a reservation. Book your room online through a web portal customized by Sheraton exclusively for the GWS2011 conference. Hit the link and then go to "Book a room" at the top of the page. If you are unable to book online, call Sheraton's toll-free reservations line at 1-888-627-7033. This is a Sheraton system-wide reservations line, so be sure to identify yourself as a participant in the George Wright Society Conference in New Orleans. Have your arrival and departure dates and times ready, as well as a major credit card to guarantee your first night’s reservation. Also be sure to state any special preferences (e.g., non-smoking). You can change or cancel your room reservation up to 72 hours prior without penalty (be sure to obtain a cancellation number).
Important note: There is an early departure fee of one night's room plus tax if you check out prior to the confirmed check-out date. So if you have to shorten your stay, be sure to contact the reservations line more than 72 hours in advance or you will incur this penalty.
Cut-off date for guest rooms: the room block is being held until 5:00pm CST February 15, 2010, or until all the rooms in the block are taken (which we expect will occur before February 15.) After that, any additional rooms at the Sheraton will be sold on a space-available basis and the federal per diem rate is not guaranteed. A word to the wise: the room block usually fills up well before the cut-off date, and latecomers have to find accommodations elsewhere. Get your reservations early!

Parking at the hotel. At the Sheraton, valet parking service only is available to guests. There is no self-parking. Vehicles are secured in a covered garage adjacent to the hotel. Due to limited space and height restrictions parking is available on a first-come-first-served basis and we cannot accommodate oversized vehicles. The guest rate for parking is $29.95 + tax ($33.54 tax inclusive). Due to limited space and height restrictions oversized vehicles cannot be accepted.
We have negotiated small blocks of rooms at the following hotels at the federal per diem rate (or below). When you call, identify yourself as a George Wright Society conference participant (or use the Group Code if one is indicated). Please be advised: once these rooms are gone, you will be on your own for locating a hotel (the good news is that there are dozens in the nearby area). Price/night shown below DOES NOT include tax.
