GWS2013: How to reserve a hotel room

 


 

Hotel room block & rates

 A block of sleeping rooms is being held at the Sheraton.  We have negotiated a discounted room rate of $129 per night (same price for single/double occupancy).  This is $20 below the FY2012 federal per diem rate for lodging in Denver.  This price does NOT include applicable state and local taxes of 14.85% (these bring the cost of a room to approximately $148.16 per night).  The tax rates are subject to change.

Tuesday, February 12, is the last day the hotel is guaranteeing that rate to GWS attendees; after that, they may still offer the rate at their discretion, but it's not assured.

The 2012 federal per diem rates for Denver are: $149 lodging, $66 M&IE (meals & incidental expenses; $49.50 first and last day of travel). 

If you wish to arrive early or stay later, the room rates will be extended to you, subject to room availability, for a period of 2 days before and after the conference.

Partial room tax exemption for US federal government employees.  Federal government employees who pay for the hotel using a GSA SmartPay Purchase Card will be able to exempt themselves from the Colorado state portion (but not the local portion) of the tax on the hotel room.  Just make a request at the time of check-in.  No special form is required in Colorado (more information).  HOWEVER: if you are paying with a GSA SmartPay Travel Card, you are NOT exempt from tax.  (Here's why.)

 

Making a reservation

To reserve a room, go to https://www.starwoodmeeting.com/Book/GWS2013 and then click the "Reserve" button.  Once you have confirmed your reservation, be sure to write down the hotel confirmation number (it appears near the top of the confirmation screen).

If you'd rather book by phone, call the Denver Sheraton Downtown Reservations Department directly at 1-303-893-3333.  Be sure to identify yourself as a participant in the 2013 George Wright Society Conference.  Have your arrival and departure dates and times ready, as well as a major credit card to guarantee your first night’s reservation. Also be sure to state any special preferences. You can change or cancel your room reservation up to 48 hours prior without penalty (be sure to obtain a cancellation number if you have to cancel).

Alternatively, you can call Sheraton's toll-free reservations line at 1-888-627-7033 (this number also works in Canada).  This is a Sheraton system-wide reservations line, so again, be sure to identify yourself as a participant in the George Wright Society Conference in Denver. 

Thinking about sharing your room to cut costs?  Be sure to reserve a room with 2 beds; our room block contains a mix of rooms, some of which have only 1 king bed.

Early departure fee.  There is an early departure fee $50 if you check out prior to the confirmed check-out date.  So if you have to shorten your stay, be sure to contact the reservations line more than 48 hours in advance or you will incur this penalty.

Cut-off date for guest rooms.  The room block is being held until 5:00pm MST February 12, 2013, or until all the rooms in the block are taken.  After that, any additional rooms at the Sheraton will be sold on a space-available basis and the GWS conference rate is not guaranteed.

Free in-room, high-speed Internet for people reserving under the GWS room block

We have also negotiated free Internet access in sleeping rooms for guests who have registered under the GWS room block.  The charge for this is normally $12 per day. There is free high-speed wireless in the hotel lobby.  There is no Internet access in the meeting rooms.

There is both self-parking ($24/day) and valet parking ($33/day) at the hotel.
